Storage and capacity

Introduction and orientation

Check used space, unused media and files in the trash.

Overview and explanation

Understanding the storage overview

Media share cloud storage at Company level; each user does not have a separate allowance. In the version described, the media library uses a limit of 10 GB (10,000,000,000 bytes). Files in the trash still count towards total usage. Cloud storage capacity is separate from the player’s local disk capacity.

  • Media in use: Files used in the Company’s content.
  • Unused media: Active files not currently used in the Company’s content.
  • In the trash: Deleted items still included in the storage usage calculation.
  • Total in use: Total space counted for this Company, including the trash.
  • Remains available: The difference between the library limit and total usage.

If space is running low, check media usage first. Remove any references to a file before deleting it. Discuss options for additional storage with your software provider.

Automatic cleanup of unused media

Media with no recorded usage may be moved to the trash once more than six months have passed since upload or access was granted. This is not six months since last use. The check runs approximately weekly.

After more than one month in the trash, a file may be permanently removed during a subsequent check if no other active access exists. Until then, trash counts towards storage; a shared file may remain longer.

Finished or stopped campaigns may be removed 360 days after their configured end. Media can be considered unused only once all recorded uses have been removed.
